Set up and pair a kiosk
Connect a Givebear kiosk to your organization, from network setup to first sync.
In this tutorial you pair a physical kiosk to your organization. Pairing has two sides: a few taps on the kiosk, then registering the device in your dashboard. By the end the kiosk shows your organization name and is ready for donors.
Before you start
You need:
- A Givebear kiosk device, powered on and within reach of Wi-Fi.
- A Givebear account with permission to add devices (an admin, or a teammate with device permissions).
- Access to your dashboard on a phone or computer.
Pair the device after your organization can accept payments. If Stripe is not connected yet, finish getting started first so the kiosk syncs your funds and branding.
Pair the kiosk
You move between two screens: the kiosk in front of you and the dashboard on your phone or computer. Keep both within reach.
Start setup on the kiosk
Power on the kiosk. On the Givebear welcome screen, tap once to begin. The setup flow opens with a four-step progress bar: Network, Device ID, Link Check, and Connected.
Connect the kiosk to the internet
On the Network step, select your Wi-Fi network. Enter the password if the network is secured. Wait until the card reads Connected, then tap Continue.
The Continue button stays disabled until the kiosk reaches the internet.
Find the device ID
On the Device ID step, the kiosk shows a QR code and a device ID. Leave this screen open. You will use it to register the device in the dashboard.
Tap Next on the kiosk to move to the Link Check step. The kiosk now waits for you to add it in the dashboard.
Register the device in your dashboard
Open your dashboard and go to the Devices area. Select Register device.
In the first step, scan the QR code on the kiosk with Scan, or type the device ID into the Device UUID field.
Name the device
Continue to the details step. Give the device a name staff will recognize, such as Main lobby kiosk. Add an optional location like Ground floor, near reception.
Connect the device
Review the details, then select Connect device. The dashboard confirms the device was added. No further action is needed in the dashboard.
Let the kiosk link itself
Return to the kiosk. On the Link Check step, tap Try Again. The kiosk looks for your organization and, once it finds it, advances on its own to the Connected step. If it still says Device not linked yet, wait a moment and tap Try Again once more.
Wait for the first sync
The kiosk now downloads your settings, funds, and branding. When it shows Kiosk Ready with your organization name, it opens the home screen automatically.
What you just did
You connected the kiosk to Wi-Fi, registered it under your organization, and ran its first sync. The device is now locked to your organization and pulls its configuration from the dashboard.
Confirm the kiosk is ready
Before donors use it, check that:
- The kiosk shows your organization name, not a generic setup screen.
- The device appears in the Devices area of your dashboard.
- The expected funds are visible on the home screen.
- Branding and colors look correct.
The activation checklist shows a Card reader row when the kiosk uses a wired USB reader, or Contactless payments when it uses its own built-in NFC. Either finishes in the background, and the first Tap to Pay setup can take about a minute. If the row never turns green, see troubleshooting. To pick the reader yourself, see reader modes and Tap to Pay.
