Check in attendees and read event reporting

Scan or search attendees at the door, then read your event's registrations and analytics.

Use this guide to run the door at a Givebear event and to read the results afterward. This guide uses three of the event tabs: Check-in, Registrations, and Overview.

Open an event from the Events and community area, then pick the tab you need.

Before you start

Each confirmed registration carries a personal QR code. Attendees find it on their registration page (the link in their confirmation) and can show it on a phone or on paper.

Check attendees in at the door

Open the Check-in tab. The top of the page shows three live counts: total tickets, checked in, and remaining.

Scan the attendee's QR code

Select Use camera, allow camera access, then point the camera at the attendee's QR code. Givebear looks up the registration and checks in a confirmed attendee automatically.

Read the result card

After each scan a card confirms the outcome: checked in now, already checked in, or blocked. It shows the attendee name, ticket type, and party size so you can confirm the right person.

Move to the next person

Dismiss the card and scan the next attendee. The counts at the top update as you go.

No camera? Use the paste or USB option

If the device has no camera, or you use a USB barcode reader, type or scan the code into the Paste or scan field and select Check In. The lookup works the same way.

Check someone in by name

Use Manual check-in when an attendee cannot show a code.

  1. Search confirmed attendees by name or email.
  2. Find the right person in the list.
  3. Select Check in.

The list shows only confirmed and checked-in attendees. Party bookings show their size and the names in the group.

Undo a check-in

Checked someone in by mistake? Select Undo on their row, or Undo check-in on the result card. Their status returns to confirmed so you can scan them again.

You can only check in a confirmed attendee. Pending, waitlisted, cancelled, and refunded registrations are blocked at the door. Confirm or fix the registration on the Registrations tab first.

Manage registrations

Open the Registrations tab for the full list of everyone who signed up. You need the Manage registrations permission to open it; owners and admins have it.

From here you can:

  • Search by name or email, and filter by status: confirmed, checked in, pending, waitlisted, cancelled, or refunded.
  • See each person's ticket type, amount paid, refunds, and whether they registered on the web or at a kiosk.
  • Open a row to see the detail panel with every form answer, plus each additional attendee and their answers.
  • Check in, undo, confirm a pending registration, cancel, or refund a paid registration.

Refunds move money and need the refund permission. See Payments, refunds, and cancellations.

Export the registration list

Select Export CSV to download every registration. You need the Export registrations permission. The columns are Name, Email, Phone, Status, Ticket, Quantity, Amount Paid, Sales Tax, Refunded, Source, Registered At, and Checked In At, then one column per custom form question (labelled as on your form), then Additional attendees and Notes. Additional attendees appear as "Name (Question: answer, ...)" entries separated by semicolons. Use the file for follow-up in People and outreach or your own records.

Read event reporting

Open the Overview tab for live analytics on a published event.

The stat cards show:

  • Tickets sold: confirmed tickets, including those already checked in.
  • Net revenue: what reaches your organization after fees, with the gross amount as a hint.
  • Checked in: the number checked in and the check-in rate.
  • Capacity: tickets sold against your capacity, or unlimited.

Below the cards you get a registration status breakdown, a revenue breakdown, a per-ticket-type breakdown, and your most recent registrations. Select View all to jump to the Registrations tab.

The revenue breakdown lists sales tax collected separately. Givebear does not file or remit tax for you. You are responsible for the rate, collection, and remittance. The Registrations tab also totals the sales tax to remit.

Fees on the breakdown follow your plan's application fee plus Stripe processing. Your plan sets the rate. See Settings, roles, and billing.
