Events and community
Run events from the dashboard: where event management lives and how it connects to the full Events section.
Use this page to find events in the dashboard and run them end to end. Event setup, tickets, registrations, and check-in all live under one Events area. For deeper, task-by-task guidance, follow the links to the Events guides.
Where events live
Open Events in the dashboard sidebar. It groups everything attendee-related in one place:
- Overview: a snapshot of upcoming events, tickets sold, registrations, and revenue.
- All events: every event, with search, sort, and bulk actions.
- Upcoming, Past, and Drafts: the same list filtered by status.
If your organization has the calendar add-on, Calendar and Website calendar also appear in this group.
You need the View events permission to open this area. Creating, editing, publishing, checking in, and exporting are separate permissions. See roles and billing.
Create an event
Start a new event
Select New event from the Events sidebar group, or use the New event button on any event list.
Name it and set the start
Enter a title and a start date and time. Givebear detects your timezone and saves the event as a draft.
Work through the builder
The draft opens the five-step builder: Details, Photo, Tickets, Registration, then Review. Add a location, banner image, pricing, and any extra form fields.
Publish when ready
On the Review step, publish the event. It stays unpublished and hidden until you do.
For the full builder walkthrough, see create and publish an event.
Manage one event
Open any event to get four tabs:
- Overview: live analytics once published, including tickets sold, net revenue, check-in rate, capacity, and a status breakdown.
- Edit: the step-by-step builder, including tickets and the registration form.
- Registrations: every sign-up, with filters and actions.
- Check-in: the door tool for the day of the event.
A draft has no analytics, so opening it sends you straight to the builder.
Publish or delete from the list
On any event list, select events and use Publish or Unpublish to change them together. Publishing needs the Publish events permission and an organization that is ready to take payments; otherwise the event is skipped with a "Finish setting up your account" message.
Deleting an event is refused while it has confirmed, checked-in, or paid registrations. Cancel those registrations first, or unpublish the event instead. Deletions and first publishes are recorded in Settings > Activity; see settings, roles, and billing.
Track registrations
The Registrations tab lists every attendee with their status: pending, confirmed, checked in, waitlisted, cancelled, or refunded. You need the Manage registrations permission to open it.
- Search by name or email, or filter by status.
- Open a row to see the detail panel: amount paid, ticket, contact details, and every answer to your custom form questions, including each additional attendee's answers.
- Confirm a pending sign-up, cancel one, or check someone in.
- Refund a paid registration when it has a Stripe charge.
- Select Export CSV to download the full list. The file has one column per form question after the standard columns. Exporting needs the Export registrations permission.
Registrations taken on a paired kiosk are tagged as kiosk sign-ups in the list and export.
For ticket types, form fields, and refund handling, see tickets, forms, and registrations and payments, refunds, and cancellations.
Check people in
The Check-in tab runs the door. It shows total tickets, checked in, and remaining.
- Scan attendee QR codes with your device camera.
- Or paste a code, or use a USB barcode reader, in the manual input.
- Search confirmed attendees by name to check them in by hand.
- Undo a check-in if you scan someone twice.
See check-in and reporting for running the door at scale.
Pricing, tax, and fees
Each event sets one pricing mode: free, a fixed price, tiered ticket types, or pay what you want. The event Overview breaks revenue down into the subtotal, sales tax, platform fee, Stripe processing, and net to your organization.
Givebear does not file or remit any sales tax for you. Each event has an optional sales-tax percent field. Set the correct rate for your jurisdiction and remit it yourself.
Fees follow your plan. See pricing for current rates and donations and finance for payouts and reconciliation.
Community surfaces
Events cover anything with attendance or tickets. Other community tools are add-ons you enable separately:
- Calendar: publish a public schedule of services, classes, and programs without ticketing.
- Prayer times: maintain daily prayer and Jumuah times for a mosque, found under Add-ons in the sidebar.
Enable these from add-ons, then embed them with the calendar and prayer widgets.
