Tickets, forms, and registrations
Set up ticket pricing, registration questions, and manage who signs up for an event.
Tickets and the registration form decide what attendees pay and what you learn about them. You set both in the event builder, then review who signs up in the Registrations tab.
This guide assumes you already have an event. To create one first, see Create and publish an event.
Tickets and the registration form live inside the event builder. Open your event from the dashboard, then select the Edit tab. Tickets are step 3, registration is step 4.
Choose a pricing mode
Step 3 of the builder is Tickets. Pick one pricing mode for the event.
| Mode | Use it when |
|---|---|
| Free | No payment is required to register. |
| Fixed | Every ticket costs the same single price. |
| Tiered | You need several ticket types at different prices. |
| Pay what you want | Attendees choose their own amount. |
Open the event, select Edit, then go to step 3, Tickets.
Select Free, Fixed, Tiered, or Pay what you want.
Fill in the price fields that appear for your mode (see below), then select Continue.
Fixed price
Enter one ticket price in US dollars. That price applies to every registration.
Pay what you want
Enter a Minimum and a Suggested amount. Attendees pay at least the minimum and see your suggested amount as a default.
Tiered ticket types
Tiered mode opens a ticket type editor. Add one entry per ticket you want to sell.
Select Add ticket type.
Enter a Name attendees will recognize, for example General admission or Student.
Set the Price. Enter 0 for a free tier.
Add an optional Description and Capacity (leave capacity blank for unlimited).
Keep Active on to show the tier to registrants, or turn it off to stop selling it.
Select Save, then repeat for each tier.
Edit or delete any tier from the list. Turn a tier inactive to retire it without losing past registrations tied to it.
Add sales tax (optional)
Any paid mode shows an optional Sales tax (%) field. If you set a rate, Givebear adds it on top of the ticket price at checkout and records the tax portion on each registration.
Givebear does not collect, file, or remit sales tax for you. You are responsible for the correct rate and for remitting it. The Registrations tab totals the tax collected so you can reconcile it.
Record goods or services value (optional)
For fixed and pay-what-you-want events, you can mark that attendees receive goods or services in exchange, such as a meal or merchandise. In tiered mode, set this per ticket type as Goods/services value.
Enter the fair market value per attendee. When a payment is over $75, Givebear discloses on the receipt that only the amount above this value is a tax-deductible contribution. Leave it blank for a pure admission purchase.
Paid events charge through your connected payout account, and fees follow your plan. See Pricing for fee details and Settings, roles, and billing for payout setup.
Build the registration form
Step 4 of the builder is Registration. It controls registration limits and the questions attendees answer.
Full name, email address, and phone number are always collected. Phone is optional for the attendee. Add custom fields for anything else you need.
Go to step 4, Registration, in the event builder.
Set an optional Capacity. Leave it blank for unlimited registration.
Set optional Registration opens and Registration closes times to limit the sign-up window.
Turn on Allow waitlist to let people queue once the event is full.
Turn on Require approval to hold each registration as pending until you confirm it.
Turn on Show on calendar to include the event in your public calendar feed.
Add a custom field
In the registration form section, select Add field.
Enter a Label. The field key fills in automatically from the label.
Choose a Field type: short text, long text, email, phone, number, date, dropdown, radio (pick one), or checkboxes (pick many).
For dropdown, radio, or checkbox fields, enter the Options, one per line.
Add an optional Placeholder and Help text to guide the answer.
Turn on Required if the attendee must answer, then select Save.
Reorder fields with the up and down arrows. Edit or delete any field from the list.
Ask only for what you will use. Every required field adds friction at sign-up, and unanswered questions create work at check-in.
See who registered
People register on your public event page or at a kiosk. Each sign-up creates a registration record with the attendee's details, ticket type, amount paid, and answers to your custom questions.
Open the event and select the Registrations tab to manage them.
- Search by name or email.
- Filter by status: pending, confirmed, checked in, waitlisted, cancelled, or refunded.
- Open a row to see the detail panel, including every custom form answer and each additional attendee's answers.
- Export CSV to share the list or hand it to your check-in team. The file includes one column per form question.
The header shows totals, including how many came from a kiosk and any sales tax to remit.
Move a registration through its statuses
| Action | What it does |
|---|---|
| Confirm | Approves a pending registration. |
| Check in | Marks a confirmed attendee as arrived. |
| Undo | Reverses a check-in back to confirmed. |
| Cancel | Cancels a pending, confirmed, or waitlisted registration. |
| Refund | Returns a paid registration's payment. |
If you turned on Require approval, new registrations start as pending. Confirm each one to finalize it.
