Receipts and recurring gifts

How donors get receipts, find past ones, and manage recurring gifts, plus what you can do from the dashboard.

This page covers two common donor questions: where their receipt is and how to change a recurring gift. Use it to guide donors, and to handle the parts you control from the dashboard.

How receipts work

Every completed gift triggers an automatic receipt email. Givebear sends it to the donor's email right after the payment succeeds.

The email includes a PDF receipt attachment. The receipt shows the full gift amount, the organization, the fund or project, the date, and a transaction id.

The receipt always shows the full gift amount. Processing and platform fees are the organization's cost and never reduce the donor's amount. See pricing for how fees apply.

Help a donor find a past receipt

Point donors to My Givebear, the supporter portal. They can download any receipt themselves, no account or password needed.

Send the donor to /my and have them enter the email they donated with.

They open the sign-in link Givebear emails them. The link works for 24 hours.

In the portal, they open the Donations & receipts tab.

They select Receipt next to any gift to download that PDF.

The email must match the one used for the donation. If a donor used a different email, search your transactions by amount and date to find the gift.

A donor reaches the portal with any donation, event ticket, or membership tied to their email. The portal never reveals whether an email has records, so the sign-in link only arrives when there is something to show.

Resend a receipt yourself

You can resend a receipt from the dashboard when a donor cannot find theirs.

Open Transactions in your dashboard.

Find the gift, then resend its receipt. The donor gets a fresh email with the PDF attached.

Receipts only send for completed gifts, and only when a donor email is on file.

Give a donor a year-end statement

Donors can download an annual statement per organization from the Donations & receipts tab, under Annual statements. It summarizes a full tax year.

You can also generate a statement for a donor from their contact profile in People and outreach. Use this when a donor asks you directly.

How donors manage recurring gifts

Donors set up a recurring gift on your donation page during checkout. After that, they manage it themselves in My Givebear.

In the Recurring gifts tab, a donor can:

  • Change the amount. The minimum is $0.50.
  • Change the frequency to daily, weekly, monthly, or yearly.
  • Pause the gift, then resume it later.
  • Cancel the gift.

A paused gift stops charging until the donor resumes it. A cancelled gift cannot be undone, so the donor would need to start a new recurring gift.

Donors cannot update a saved card from the portal today. If a recurring payment fails because a card expired, ask the donor to set up a new recurring gift. There is no button to swap the card on an existing recurring gift.

What to tell donors

  • Receipts arrive by email automatically after each gift.
  • Past receipts and statements live in My Givebear at /my.
  • Recurring gifts are changed by the donor in My Givebear, not by you.
  • If a donor is stuck, point them to contact support.
