How the letter is built

Five short paragraphs, in the order donors read them. Anything you leave blank falls back to neutral wording.

  • The greeting uses the recipient's name, or opens with Dear friend.
  • Who is asking, then what the gift funds, followed by your impact line and deadline if you give them.
  • A direct ask, with your suggested amount when you enter one, and a note that a receipt follows right away.
  • A thank-you and your name and organization to close.

What should a donation request letter include?
A strong donation request letter has five parts: a warm greeting, a clear statement of who you are and what you do, a specific and tangible description of what the gift will fund, a direct ask (ideally with a suggested amount), and an easy way to give. Keep it short, make the impact concrete, and always say thank you.
How long should a donation request letter be?
Shorter is usually better. One page, or three to five short paragraphs, is plenty for most appeals. Donors skim, so lead with the need and the ask, keep paragraphs brief, and put the giving link or QR code where it is easy to find.
